How We Photographed 530 Headshots in 14 Hours – A High-Volume Headshot Marathon
When the Society for Mining, Metallurgy & Exploration (SME) Annual Conference & Expo called us up to run a high-volume headshot booth in Denver, we knew it was going to be an epic challenge. Sponsored by Caterpillar, we were tasked with delivering professional headshots to as many attendees as possible within the conference timeframe. And by "as many as possible," we mean 530 headshots in just 14 hours! That’s one person every 1.5 minutes, with editing and delivery within minutes of each person stepping in front of my camera.
Why Are Headshot Booths So Popular at Conferences?
Conference headshot booths are one of the best investments for event organizers and sponsors. Attendees get something valuable—a professional headshot they can use for LinkedIn, their company website, or marketing materials—and companies get to provide an engaging experience that leaves a lasting impression. It’s a win-win!
Plus, let’s be honest: no one actually likes their old LinkedIn photo. Giving people an easy, high-quality way to upgrade their professional image is a surefire way to draw a crowd.
The Goal: Maximum Efficiency, Maximum Quality
Our high-volume headshot booths capture anywhere from 100- 250 headshots per day—and that’s with an experienced photographer. But we don’t do average. We push the limits because we’ve built the workflow, team, and expertise to deliver more value in less time.
With my amazing wife, Regina, running check-in and managing the line like a pro, we streamlined every part of the process. Our goal was clear: keep people moving while still delivering top-tier headshots that make each person look and feel their best.
The Secret Sauce: Real-Time Editing & Instant Delivery
We didn’t just shoot 530 headshots. We edited and delivered them on the spot—a game-changer for our clients. Here’s how we pulled it off:
Tethering in Capture One to instantly preview and adjust shots
Automated file naming & delivery via Headshot Tools
AI-powered retouching with Evoto.ai for lightning-fast edits
Seamless delivery back through Headshot Tools so attendees got their headshots within minutes
Many photographers claim they specialize in high-volume headshots, but the truth is, shooting 50 people in a day is one thing—shooting 250+ is a completely different level. We thrive in these fast-paced environments, making sure every headshot is consistently high-quality and flattering.
When Things Go Wrong, We Stay Ready
No high-volume event runs perfectly. Something always comes up.
For this shoot, the challenge came in the form of no WiFi at the convention center—a problem when our entire instant-delivery system relies on a solid internet connection. But, as professionals who’ve been through it all, we came prepared.
Our solution? A high-speed Verizon business hotspot that we always bring to events. (Not a phone hotspot—those don’t cut it for this level of work.) This backup plan saved the day, ensuring we stayed on track without a hitch.
The Result: A Happy Client and Another Job Booked
At the end of the 14-hour headshot marathon, we had successfully photographed, edited, and delivered 530 headshots—and our client was thrilled. So thrilled, in fact, that they’ve already booked us for their next conference! That’s the sign of a job well done.
Couldn’t Have Done It Without Regina
This level of work takes a team, and I couldn’t do it without my wife and business partner, Regina. She’s the organizational mastermind behind the check-in process, making sure everyone moves efficiently while keeping the energy high. Want to see her incredible work?
